Invite, onboard, and manage all your clients from a single dashboard.
Inviting Clients via Link
The fastest way to add a client is via an invite link. The link is unique to your account and can be shared anywhere — a text message, social media, email signature, or your website.
- Go to Dashboard → Clients → Invite Client.
- Copy your invite link or QR code.
- Share it with your client.
- When they sign up using your link, they are automatically connected to your roster.
You can also send a direct email invitation by entering the client's email address on the Invite page. They will receive a personalised invitation with your name and coaching profile.
Free plans support up to 3 clients. Growth plans support up to 25. Pro and above are unlimited.
Client Onboarding Flow
When a new client joins through your link, they are guided through an onboarding flow before they reach your program. The steps shown depend on which forms you have configured.
To customise onboarding, go to Settings → Onboarding:
- Intake form — Collect health history, goals, availability, and any injuries (available from Growth plan).
- Waiver / liability form — Clients sign and acknowledge terms before training (available from Growth plan).
- E-signatures — Digital signature collection (drawn signature, timestamped), available on Pro and above.
Completed forms are stored under the client's profile and can be exported at any time.
Client Detail Page and Analytics
Click any client's name on your roster to open their detail page. This is your single view for everything related to that client:
- Overview — Current program, last check-in, days active this week, and most recent body weight.
- Workouts — Full session history, PR records, and volume trends.
- Nutrition — Daily macro adherence, calorie trend, and recent food logs.
- Progress Photos — Timestamped progress photo gallery with side-by-side comparison.
- Check-ins — All submitted check-in forms with responses and coach notes.
- Health — Steps, recovery score, sleep data (if health sync is connected).
- Messages — Direct conversation thread with the client.
Basic client analytics are available on Growth plans. Advanced analytics with AI-generated trend summaries are available on Pro and above.
Managing Client Groups
Groups let you organise clients into cohorts — for example, by goal, training style, or programme phase. Groups are available on Growth plans and above.
To create a group:
- Go to Clients → Groups → New Group.
- Name the group and optionally add a description.
- Add clients from your roster to the group.
Groups power group messaging — you can broadcast a message or check-in reminder to every member at once. See the Messaging guide for details.
Automation Rules for Client Engagement
Automation rules let the platform send messages or trigger actions on your behalf when certain conditions are met — keeping clients engaged without manual effort.
Go to Settings → Automations → New Rule. Each rule has a trigger and an action:
- Trigger examples — Client hasn't logged a workout in 3 days; client completes a check-in; client reaches a PR.
- Action examples — Send an automatic message; send a check-in reminder; award XP.
Growth plans support up to 3 active automation rules. Pro plans and above support unlimited rules. Messages sent by automations appear in the client's chat thread with a small indicator showing they were automated.
What Your Client Sees
Understanding the client experience helps you answer questions and set expectations before they join. Here is what a new client goes through from start to finish.
- Invite email — After you send an invite, your client receives an email from Kounisou with your name in the subject line and a registration link. The email comes from noreply@kounisou.com. Tell them to check spam if they do not see it within a few minutes.
- Registration — They click the link and create an account with their email and a password. If they already have a Kounisou account, they can sign in instead and the connection is made automatically.
- Email confirmation — They need to confirm their email address before signing in. A confirmation email is sent automatically. One click and they are in.
- Onboarding — If you have configured an intake form or waiver, your client completes those steps before reaching the main app. This is where they tell you their goals, health history, and any injuries.
- Client portal — Once inside, your client sees a simple app with four main areas:
- Workouts — Their current program, today's session, and past workout logs.
- Nutrition — Their daily macro targets and food diary. They log meals by photo, barcode, or typing what they ate.
- Messages — A direct chat with you. This is where they send you updates and you send coaching notes.
- Check-ins — If you have set up a check-in schedule, a reminder appears here each week (or on your custom schedule).
Clients do not see your coach dashboard, other clients' data, or any billing information. Everything they see is scoped to their own account and their relationship with you.
Reviewing Check-ins
Check-ins are weekly (or custom-scheduled) forms your clients fill in to update you on how they are feeling, their measurements, energy, sleep, and any questions they have. You define the questions; they fill them in.
Creating a check-in template:
- Go to Dashboard → Check-ins → New Template.
- Add the questions you want to ask — body weight, energy (1–10), sleep quality, adherence rating, any free-text notes.
- Set a schedule: weekly on a specific day, fortnightly, or monthly.
- Assign the template to a client or a group of clients.
What the client submits: On the scheduled day, the client sees a check-in prompt in their app. They fill in each field and tap Submit. You get a notification as soon as it is submitted.
Reviewing submissions: Open Client Detail → Check-ins to see every submission in chronological order. Each response shows the date, all answers, and any photos they attached. You can leave a coach note directly on any check-in — the client sees your reply in their app.
Check-in history is available for as long as the client is on your roster. You can export all check-ins for a client from the menu in the top-right corner of their Check-ins tab.
